Approval thresholds control how far an application travels through your approval structure, who it needs to reach, and at what value it moves on to the next level. Use this article to understand how the five approval levels work and how to configure them.

Q1: What are approval thresholds and how many approval levels are there?

Approval thresholds determine how far an application travels through your approval structure, who needs to review it, and at what rand value it moves on to the next level. There are five approval levels available in total, and the structure is fully customisable to suit your business.

Q2: Can I turn approval levels on or off?

All five levels can be switched on or off, with one exception: approval level one cannot be turned off, and it never carries a threshold. Every application, regardless of value, passes through level one first. Threshold configuration applies from level two through to level five, and every level from two onward is optional.

Q3: How do I set a threshold at each approval level?

To configure a threshold, you enable the relevant level and enter the rand value that defines it. A typical structure might place sales managers at level one, credit controllers at level two, credit managers at level three, a financial manager at level four, and the chief financial officer at level five, each with a rand threshold that determines which applications reach them.

What to do:

  • Enable the levels your approval structure needs.
  • Set a rand threshold for each level from two through five.
  • Set a threshold of zero rand at any level if you simply want a final check to pass through, without a full approval requirement.

Q4: Can the same person approve an application at consecutive levels?

No. Consecutive approvals by the same person are not permitted. If someone is set up as an approver at levels one, two and three, they cannot approve an application at level one and then again at level two. They can, however, approve at level one and then again at level three, provided someone else approves level two in between.

Q5: How do departments affect my approval path?

Departments directly affect your approval path. If you check the Assigned To section and see that an application sits with a regional manager's team, make sure you're reaching out to the correct regional manager. If your business uses departments to segment approvals, contacting the wrong team can delay the application unnecessarily.

What to do:

  • Check the Assigned To section to see which team or region holds the application.
  • Contact the relevant department head directly, not just any member of that team.
  • This avoids delays caused by following up with the wrong person.
