Understanding the Confirm Subject Details Stage

This article explains the Confirm Subject Details stage in the Trade Shield application workflow — when it applies, what it means, how to add a company that isn't in the Inoxico database, and what happens next.

When does this stage apply?

This stage is triggered when you are onboarding an entity that is not a standard registered company in South Africa, or whose details are not yet in the Inoxico bureau database. This commonly includes:

Schools & UniversitiesNon-Profit Organisations (NPOs)
TrustsPartnerships
Foreign CompaniesSole Proprietors & unregistered entities not yet in the database

Before you begin

✓  Access to the Trade Shield platform✓  Permission to view or manage application workflows
✓  You are onboarding an entity that does not appear in the standard Inoxico company search results

Search for the Company

From the Trade Shield search screen, select Company and enter the entity's name or registration number in the search field.

If the entity does not appear in the results — or the results shown are not the correct match — you will see the option: Can't find '[name]'? Add it now.

Click "Add It Now"

Click the Can't find '[name]'? Add it now button. This tells Trade Shield that the entity is not in the Inoxico database and opens a form so you can manually enter their details.

⚠ Note: Only use Add It Now if you are confident the entity is not in the database. Always search first — if a matching result exists, select it rather than adding a duplicate.

Complete the Company Details Form

A form will appear for you to fill in as much detail as you have available about the entity. The more information you provide, the better Inoxico can verify and add the entity to the database.

Inoxico Processes the Request

Once you submit the form, the application enters the Confirm Subject Details – Bureau Confirming Company Details stage. Trade Shield automatically passes the entity details to Inoxico for verification and database addition. No further action is required from your side.

Notification & Workflow Continues

You will receive a notification once Inoxico confirms the entity has been successfully added to the database.

After this confirmation, the application will automatically progress to the next stage in the normal workflow — no manual action required.

Troubleshooting

Application appears stuck at "Confirm Subject Details – Bureau Confirming Company Details"

CauseThe entity is not yet in the Inoxico database. Inoxico has not yet completed their verification and registration process.
Resolution

✓  Wait for Inoxico to complete the entity validation — processing time is typically minimal.

✓  Once added, the application will automatically progress to the next stage.

✓  You will receive a notification when confirmed. If delays are unusually long, contact support.

Frequently Asked Questions

What types of entities trigger the Confirm Subject Details stage?

This stage applies to any entity that is not a standard CIPC-registered company or is not yet in the Inoxico database. This includes schools, universities, NPOs, trusts, partnerships, foreign companies, and sole proprietors not yet in the database.

Why is my application stuck at "Confirm Subject Details – Bureau Confirming Company Details"?

The entity is not yet in the Inoxico database and is currently being verified. The application will remain at this stage until Inoxico completes the process.

Do I need to take any action while the application is in this stage?

No action is required. Your request has already been sent to Inoxico automatically. The system will update the stage once the entity is added to the database.

What should I do if the application doesn't move forward after Inoxico confirms the entity?

If the entity is confirmed but the workflow hasn't progressed, try the following:

✓  Refresh the application screen.

✓  Wait a few minutes and check again.

✓  Contact support if the stage has not updated after a reasonable time.
