1. Overview of Workflows in Trade Shield

Amy explained the different workflow types available:

  • Basic Credit Questionnaire (BCQ):
Collects documents, includes digital signatures, credit reports, and financial assessments with approvals.

  • Review Workflow:
Used to increase/decrease credit limits. Can require updated financials, BEE certificates, or proof of address. Digital signatures optional.

  • Subject Initiated Credit Application (SICA):
Customers apply directly via a website link. Includes fraud-prevention checks.

  • Generic Self-Service (GSS):
Document collection only (e.g., FICA, BEE certificates), without approvals or digital signatures.

2. Customisation Options

  • Emails: Recently updated to include customer names, salesperson details, and upfront document requirements. Can be customised on request.

  • Questions: Multiple formats supported (text boxes, dropdowns, uploads, toggles, lists). Conditional logic allows questions to pop up depending on responses (e.g., number of directors, VAT registration).

  • Terms and Conditions: Can be strict (non-editable) or negotiable with a dispute function.

  • Surety Documents: Recommended as separate and wet-signed for legal clarity. Can be made mandatory or conditional (e.g., over R100,000).

3. Risk and Compliance

  • Financial Information: Linked to Moody’s Analytics models and Trade Shield’s risk scores. Strongly recommended as mandatory.

  • Fraud Checks: Email and name validation, OTP verification, and alerts if the wrong person signs.

  • Leased vs Owned Premises: Important for stock security and surety considerations.

  • Trade References: Optional, as Trade Shield’s risk data can replace them, but still useful in niche industries.

4. Practical Functionality

  • Reassigning Applications: If the requester is not authorised to sign, applications can be reassigned by the customer or internally.

  • Multiple Delivery Addresses: Configurable with flexible limits.

  • Bank Details: Optional, but useful for refunds.

  • Final Approval Page: Additional comments or documents (e.g., surety after assessment) can be added.

5. Key Takeaways

  • Workflows are highly configurable to suit different business needs.

  • Custom questions and logic help shorten forms while ensuring compliance.

  • Legal clarity on signatures and surety is critical.

  • Trade Shield’s risk models and workflow automation replace many manual, paper-based processes.

  • Teams are encouraged to review their workflows and request adjustments as needed.
